Job Description

POSITION SUMMARY
Molina Healthcare, Inc. is searching for a Provider Services Clerk for our Charleston, WV location to be responsible for the initial handling of all incoming provider correspondence received via mail and fax for the Provider Services team. Review, log and route correspondence, order requests, and state DHH requests accurately, timely and in accordance with all established and regulatory guidelines of the customer/client; as well as contacting new providers to welcome them to the Medicaid Program.

SKILLS AND REQUIREMENTS
Education:
• High School Diploma or equivalent GED

Experience:
• 2 years general office experience
• Familiarity with Data Input
• Basic knowledge of Microsoft Office
• Excellent organizational skills
• Good computer and typing skills

Preferred Experience:
• Medicaid experience
• Medical Claims experience

PRINCIPLE ACCOUNTABILITIES
• Stamp and review all provider correspondence for the Provider Services Department upon receipt and determine correspondence type, inquiry type, and any other needed information to log correctly for tracking. Batch correspondence accurately for logging.
• Log all correspondence received into the automated tracking database and distribute to correspondence reps.
• Monitor and retrieve all voicemail order requests for printed materials. Log all order requests for printed materials (manuals, training packets, payment registers, etc.) and ensure that they are filled.
• Enter manual/training packet requests into the vendor orders database accurately and timely and verify order requests for accounting.
• Act as liaison with printing vendor to track and ensure that orders are filled timely and accurately and to resolve any problems.
• Review new provider reports, make new provider welcome calls, and enter new provider materials to be mailed into vendor database.
• Review all completed letters for quality and signatures and enter completion dates into logging database.
• Distribute printing and faxes to appropriate department staff.
• Make all copies required or requested for the department staff.
• File all department documents as needed.
• Distribute Provider Services requests/responses to other departments as needed.
• Respond to all requests promptly and timely, in compliance with the contractual guidelines and all quality/production standards set by management and customer.
• Assist team members with questions and provide clerical support to team on a daily basis. Maintain basic knowledge of all department job duties and functions.
• Identify potential problems in areas of responsibility and escalate recurring or critical issues to manager or supervisor.
